HIPAA
Your patients trust you. You can trust us with them.
Patient privacy isn't a checkbox for us. Here's exactly how we handle patient information, in plain English.
A BAA with every practice
Signed before we touch a single patient detail.
Every vendor under a BAA
Each tool that handles patient details has signed one with us.
Only what's needed to book
Name, phone number, new or returning. Nothing more.
A HIPAA-trained team
Everyone at Axeon completes HIPAA training.
01
We sign a Business Associate Agreement with every practice.
Under HIPAA, a company that handles patient information for a practice is a business associate. That relationship needs a written agreement, a BAA, that spells out how the information is protected and what happens if something goes wrong.
We sign one with every practice, before any work that touches patient details begins. No BAA, no patient data. Want to read ours first? Email hello@axeonstudio.co and we'll send a copy.
02
We only use the minimum needed to book a visit.
HIPAA asks for the minimum necessary. We take that literally. The only patient details we use are the ones it takes to schedule an appointment, and we use them only for that.
What we use
Name
So the office knows who's calling and who's booked.
Phone number
So we can reply, confirm and remind.
New or returning patient
So the visit gets booked as the right appointment type.
What we never ask for
- Health history or medical conditions
- Treatment notes, X-rays or charts
- Insurance member IDs
- Social Security numbers
- Payment or card details
03
Every tool that touches patient details is under a BAA.
AxeonCORE runs on a handful of tools: the AI receptionist, two-way texting, call tracking and online booking. Every one of them that handles patient details has a signed BAA with Axeon. If a tool won't sign, we don't use it.
04
Everyone at Axeon is HIPAA-trained.
Everyone on our team completes HIPAA training, so the people building and running your system know what counts as patient information and how it has to be handled.
05
If something ever goes wrong, you hear it from us first.
If we suspect patient information has been exposed, we tell your practice as soon as we know: what happened, whose details were involved, and what we're doing about it. HIPAA allows up to 60 days. We won't take anywhere near that long.
