For dental practices, med spas, law firms and CPA firms: check if your area is open.

Short answer: law firm intake is the path from a first call, form or text to a booked consultation. Answer fast, ask only what a conflict check needs, and book the meeting before the person calls the next firm.

What is law firm intake?

Intake is everything between "I need a lawyer" and a consultation on the calendar.

It includes:

  • Answering the phone, the web form and texts
  • Sorting the inquiry by practice area
  • Running a conflict check
  • Booking, confirming and reminding

Most firms have pieces of it. Few have it written down, timed and covered after 5 PM.

Why does intake speed matter so much?

People reach out to more than one firm, and the first useful answer usually wins.

In Clio's 2019 study, as reported by 2Civility:

  • 82 percent of consumers ranked timeliness of response as the most important factor when looking for a lawyer
  • 64 percent said they had contacted a law firm that never responded
  • Only 40 percent of firms answered Clio's test email
  • 56 percent of calls were answered by a person, and 39 percent went to voicemail
  • More than half of firms didn't return voicemails within 72 hours

The same report found 57 percent of clients searched for a lawyer on their own, not only through a referral. Those people are comparing you in real time.

What does a simple law firm intake process look like?

Step 1: Send a first reply fast

Every new inquiry gets an answer within minutes. A missed call gets a text back. A web form gets a reply within a minute.

The reply is short and plain: who you are, that a person will follow up, and a link to book.

Step 2: Ask a few questions, not the story

Collect only what you need to route the inquiry:

  • Name, phone and email
  • Practice area (a short dropdown, not a free-text box)
  • County or state
  • Is anything time-sensitive? Yes or no
  • Preferred time for a consultation

Leave out "Tell us what happened." The facts of a matter belong in the consultation, with an attorney, after the conflict check.

Step 3: Run the conflict check first

Bar rules treat people who consult you as prospective clients. The Washington State Bar's summary of RPC 1.18 notes that what they share is confidential even if they never hire you, and that a website inviting case details without clear warnings can create a consultation.

So intake asks for the names of the other parties, nothing more. Freeman Mathis & Gary's guidance puts it simply: get the parties, and ask people not to volunteer more than you request.

Your state's rules and your own policies decide the details. This is not legal advice.

Step 4: Book the consultation on the spot

Don't end a call with "someone will get back to you." Offer two times or send a booking link while they are still on the phone.

Step 5: Confirm and remind

Send a confirmation right away and a reminder the day before. Include the address or video link and what to bring.

How should a firm handle intake after hours?

Evenings and weekends are when many people finally sit down to look for a lawyer.

A basic after-hours setup:

  • Missed-call text-back. The caller gets a text right away instead of a voicemail greeting. See how it works in our missed-call text-back guide.
  • A form that answers itself. An instant reply with a booking link.
  • Online booking. Real open times on your calendar, so nobody waits for the office to open.

None of this replaces the attorney. It holds the person's place until you can talk.

What should intake wording avoid?

Intake messages, booking pages and texts are attorney advertising. Keep them clear of:

  • "Specialist" or "expert." ABA rules bar claiming certification unless an approved organization certified you and is named
  • Outcome talk. No "we'll win," no case values, no past results without the disclaimers your state requires
  • Requests for case facts by text, chat or form

Every auto-reply should be approved by an attorney before it goes live.

Which law firm intake metrics should you track?

Five numbers tell you whether intake is working:

MetricWhat it shows
Time to first replyHow long a new inquiry waits
Calls answered by a personHow often callers reach someone
Inquiries to consultations bookedWhether intake gets people to a meeting
Consultation show rateWhether confirmations and reminders work
Source of each inquiryWhich channels bring the cases you want

Review them monthly. Look at after-hours inquiries separately.

Common Questions

What is law firm intake?

Intake is everything between a prospective client's first call, form or text and a booked consultation: the first reply, a few qualifying questions, a conflict check and the booking itself.

How fast should a law firm respond to a new inquiry?

As fast as you can. In Clio's 2019 study, consumers ranked timeliness of response as the most important factor when looking for a lawyer, at 82 percent, and 64 percent said they had contacted a firm that never responded.

What should a law firm intake form ask?

Name, phone, email, practice area, county, the names of other parties for a conflict check, and a preferred time. Leave the facts of the matter for the consultation.

Should intake staff collect case details?

Not by text or web form. Bar rules on prospective clients make information shared in a consultation confidential, so the safer approach is to gather only what the conflict check needs and let an attorney hear the rest.

How do law firms handle intake after hours?

With an automatic text reply to missed calls, a form that answers within a minute, and online booking, so a person who reaches out at night has a consultation time before the office opens.
