Missed Call Text Back: How It Works for Practices and Firms
For dental practices, med spas, law firms and CPA firms: check if your area is open.

Short answer: missed call text back sends an automatic text to anyone whose call your office didn't answer. It keeps that caller talking to you instead of dialing the next practice or firm on Google.
What is missed call text back?
Someone calls. Nobody picks up. Within seconds, they get a text from your office number.
The text says you saw the call, asks one simple question, and gives a booking link. The caller can reply right there, and your team picks up the thread when they're free.
That's the whole idea. It doesn't replace your front desk. It covers the calls your front desk can't get to.
How does missed call text back work?
- A call comes in to your tracked business number.
- The call rings through as normal. Your team answers if they can.
- If it goes unanswered, the system sends a text. Usually within a few seconds.
- The caller replies by text. The reply lands in a shared inbox your staff can see.
- Your team answers or books the appointment. Same thread, same number.
Good setups also text back after hours, with a line about when someone will follow up.
Why does missed call text back matter for practices and firms?
Because a lot of calls go unanswered, and the caller rarely waits.
- Dental: in one analysis of 4,280 patient calls across a 26-practice dental group, 38 percent went unanswered. That study was published by a company that sells call answering, so treat it as one data point, not a national average.
- Law firms: in Clio's 2024 test of firms, 48 percent either didn't answer the phone or never called back, and 67 percent didn't respond to emails.
- Everyone: Backlinko's roundup of Google data reports that 60 percent of mobile users have contacted a business directly from search results. Many of those calls come in while your team is with someone else.
A missed call is not a lost client yet. A missed call with no reply usually is.
What should the first text say?
Keep it short. One apology, one question or link, one opt-out line. Never ask for health, case or tax details by text.
| Business | Example first text |
|---|---|
| Dental practice | "Hi, this is [Practice]. Sorry we missed your call. Are you a new or current patient? You can also book here: [link]. Reply STOP to opt out." |
| Med spa | "Hi, this is [Spa]. Sorry we missed you. Which treatment were you calling about? Book a consultation here: [link]. Reply STOP to opt out." |
| Law firm | "Hi, this is [Firm]. Sorry we missed your call. What kind of matter is it, for example family, injury or estate? Please don't send case details by text. Reply STOP to opt out." |
| CPA firm | "Hi, this is [Firm]. Sorry we missed your call. Is this about personal taxes, business taxes or bookkeeping? Book a time here: [link]. Reply STOP to opt out." |
What to leave out:
- Promotions or discounts in the first text
- Questions about symptoms, injuries, case facts or finances
- Anything that sounds like advice
What are the consent and texting rules?
This is a high-level overview, not legal advice. Have your own attorney review your setup.
- Keep the first text to their call. A reply about the call they just made is a very different message from a marketing blast. Don't turn it into one.
- Honor opt-outs fast. Under FCC rules summarized by Covington, people can revoke consent by any reasonable means, including replies like "stop", "quit", "cancel" or "unsubscribe". Revocations must be honored within 10 business days, and one confirmation text is allowed if it's sent within five minutes with no marketing in it.
- Register your texting number. Twilio's A2P 10DLC guide says anyone sending texts from an application over a standard 10-digit number to US phones must register. Unregistered traffic gets extra carrier fees and more filtering.
- Get consent before marketing texts. Reminders and promotions are a separate decision with their own consent.
- Keep sensitive details off text. For practices, that means no health information. For firms, no case or tax specifics.
What should you look for in a missed call text back tool?
| Feature | Why it matters |
|---|---|
| Texts from your real business number | Callers recognize it and reply |
| Works after hours and on weekends | Many calls come in when you're closed |
| A shared two-way inbox | Replies don't sit on one person's phone |
| Opt-out handling built in | STOP and similar replies are honored automatically |
| Carrier registration handled | Fewer blocked or filtered texts |
| Booking link in the text | Callers can book without waiting for a call back |
| Call tracking and reporting | You can see how many missed calls got a reply |
Ask any vendor who registers the number, where replies go, and how opt-outs are stored.

Common Questions
What is missed call text back?
It is an automatic text sent to anyone whose call to your office goes unanswered. It tells them you saw the call and gives them a way to keep going by text or book online, so they don't call the next office on the list.
Is missed call text back legal?
It can be set up the right way, but texting rules are real. Keep the first text to a reply about their call, honor STOP and other opt-out replies, register your texting number with the carriers, and have your own attorney review your setup. This is not legal advice.
What should a missed call text say?
Your office name, a short apology for missing the call, one simple question or a booking link, and how to opt out. Never ask for health, case or tax details by text.
Does missed call text back work after hours?
Yes. A good setup texts back at night and on weekends too, and tells the caller when someone will follow up during business hours.
Does missed call text back replace a receptionist?
No. It catches the calls your team can't get to, like lunch, busy mornings and after hours. People still answer the phone and still handle the conversation once the caller replies.
